About YourItineraries

What is YourItineraries?

YourItineraries is an online itinerary builder for tour operators, DMCs and safari specialists. You write up each location, place to stay, activity, restaurant and transfer once, then build tours by picking from that library day by day. Your client receives a branded itinerary that they open with a link and a PIN, and can approve on the page.

Who is YourItineraries for?

Small and mid-sized tour operators, destination management companies (DMCs), safari companies and organisers of group trips, such as school or club tours. It suits any business that sends tailored, day-by-day itineraries and uses the same hotels, lodges and activities from one trip to the next.

What doesn't it do?

YourItineraries does one job: building itineraries and sending them to clients. It has no CRM, no booking engine, no email marketing and no accounting, so it works alongside the tools you already use rather than replacing them.

Do I need to install anything?

No. YourItineraries runs in your web browser, and your clients view their itineraries in theirs. There is nothing to download or install.

Is it hard to learn?

No. There's no training course to sit through. Every screen is a short form with a Save button, and there's a step-by-step guide. If you'd like a hand getting started, the optional setup packages include training for your team.

Your client's itinerary

How does my client view their itinerary?

You share a private link and a six-digit PIN, either by email straight from YourItineraries or however you prefer. Your client opens the link, enters the PIN and sees the whole itinerary. Their browser remembers the PIN for 7 days.

Does my client need an account or an app?

No. There's nothing to install and no account to create. A link and a PIN are all they need, on a phone, tablet or computer.

What does the itinerary look like?

It's a web page in your branding, with photos, a trip summary, a route map and a day-by-day plan. On a computer it opens as a full, photo-led page, and on a phone as a lighter version made for small screens. Clients can also switch to a wide layout or a slideshow.

Can my client download a PDF?

Yes. Every itinerary has a Download PDF button, so your client can print it, save it or pass it on to the rest of their party.

Can my client approve the itinerary online?

Yes. At the end of the day-by-day plan there's an Approve button. When your client presses it, you get an email straight away with the accommodation they chose, and the tour is marked Approved in your tour list.

Can I offer a choice of accommodation?

Yes. You can add up to three places to stay for a night and mark the one you recommend. Your client compares the options and confirms their choice before the full day-by-day plan opens. Their choice is saved and shown in your admin, and the itinerary and PDF update to match. They can change it until they approve.

Can I include the price?

Yes. Add a quote to the tour and it's shown at the end of the itinerary and in the PDF, just before the Approve button, so your client sees the plan and the price together. You can include it in the email that sends the link too. The quote is your own text, so it can be in any currency and set out however you like.

Building tours

How do I build an itinerary?

First add what you sell to your library: locations, accommodation, activities, dining and travel legs, each with a description and photos. Then start a tour and work through it a day at a time, choosing where your clients are, how they travel, what they do and where they stay from lists. Add the day's description in your own words.

Can I import my existing hotels and activities?

Yes. Locations, accommodation, activities and dining can each be imported from a spreadsheet. Fill in the CSV template, upload it, and the items are added to your library in one go.

Can I reuse a tour for another client?

Yes. Duplicate any tour, then change the dates, names and anything else that differs. Library items are shared between tours, so when you update a hotel's description it's updated everywhere that hotel is used.

How are photos handled?

Upload a photo and it's cropped and resized for you, in the right shapes for the itinerary's banners and galleries. There's no need to edit images first.

Can I format the text?

Yes. Descriptions have a simple toolbar for headings, bullet points, bold, italics and links.

How do I keep track of tours?

Every tour has a status: Draft, Sent, Approved or Archived. A tour moves to Sent when you email the link from YourItineraries, and to Approved when your client approves it.

Branding and your website

Can itineraries carry my own branding?

Yes, on both plans. Add your logo and colours and choose from a set of font pairings, and every itinerary your clients see carries your brand, not ours.

Can I use my own domain?

Yes, on the Pro plan. Itineraries can be shown at an address on your own domain, such as tours.yourdomain.com. You add one DNS record (a CNAME) with whoever manages your domain, and we do the rest, including the security certificate.

Can I show itineraries on my own website?

Yes, on the Pro plan. Make a sample tour, allow embedding, and paste two lines of code into any page of your website. The itinerary appears inside your page, without client names, dates or contact details. It only displays on the websites registered to your account.

Can I use my own fonts?

Yes, on the Pro plan. Enter the names of your heading and body fonts, from Google Fonts or your own font stylesheet, and they're used on your itineraries in place of the standard pairings. The PDF keeps the standard pairing.

Pricing and plans

How much does YourItineraries cost?

Starter is $20 a month and Pro is $40 a month, in US dollars. Both plans include unlimited itineraries and unlimited clients, with nothing charged per itinerary. Prices are shown before tax.

What's the difference between Starter and Pro?

Pro adds three things for operators who want itineraries to feel like part of their own website: embedding itineraries on your website, your own domain such as tours.yourdomain.com, and any font you like. Everything else is the same on both plans.

Is there a free trial?

Yes. Both plans start with a 7-day free trial. You add a card when you sign up, nothing is charged until the trial ends, and you can cancel before then.

Do I have to pay for setup?

No. Setup is optional. You can sign up and get going on your own with the guide. If you'd rather start with your branding and first content already in place, choose a setup package and we'll do it for you.

Can I change plan or cancel?

Yes. You can switch between Starter and Pro, or cancel, from the Billing section of your account. Plans are month to month: if you cancel, your plan runs to the end of the period you've paid for and doesn't renew.

Do you offer annual billing?

Yes - 12 months for the price of 10. Email us to arrange it.

Can I see a real itinerary before I sign up?

Yes. Fill in the form on the home page and we'll email you a link to a live example itinerary - exactly what your clients would see.

Your data and account

Who can see my itineraries?

Only the people you give the link and PIN to. Each itinerary has its own private link and six-digit PIN, and you can issue a new PIN at any time. Sample tours you embed on your website are public by design and show no client details.

Is my data kept separate from other operators?

Yes. Every account's library, tours and photos belong to that account alone, and every page checks that you're signed in to the right one. Your content stays yours.

Where is my data stored?

YourItineraries is hosted by Krystal in the United Kingdom. Payments are handled by Stripe, so we never see or store your full card number.

Can my team use it?

Yes. Each person has their own sign-in. Email us to add a colleague to your account.

What happens to my data if I leave?

If you close your account, we keep your content for 30 days in case you want it back, then delete it.
